I joined the Bullhorn Automation and AI User Group last week, and as usual it was a really valuable session. We covered everything from using Google reviews as a genuine feedback loop to strengthening data quality to frameworks that help keep automations consistent and scalable.

What stood out to me was how much impact small, simple changes can have when they’re applied consistently.

Harnessing Google Reviews for Continuous Feedback

Junaid Bokhari from Pioneer Selection set a great example by actively encouraging Google reviews from candidates and clients. This simple initiative does two things:

  • Boosts brand reputation – Reviews strengthen online presence and credibility.

  • Provides real feedback loops – Insights from reviews highlight what’s working and where candidate/client experiences can be improved.

Why this is great: these insights feed back into Bullhorn Automation. For example, if reviews show onboarding communication gaps, you can adjust your candidate-facing workflows to close that loop.

Junaid said that ChatGPT is now picking up their agency as one of the top agencies in their niche! Google reviews really do have an impact!

Data Quality Engagements to Strengthen the Foundation

Automation and Bullhorn are only as good as the data that powers them…this is where automation ideas like Will Fairhurst’s from GPW come in:

  • Identify empty or incomplete records in Bullhorn (missing job types, candidate details, locations).

  • Get candidates to populate and update those gaps…right back into Bullhorn.

The payoff:

  • Cleaner data = automations fire reliably.

  • Improved search and match = find top talent fast.

  • More accurate reporting, making ROI measurable.

Take to invest in data hygiene, so automations have a solid foundation to deliver real value and impact.

Proven Framework for Automation Success

Once reviews are feeding insights and your data is clean, you need a process to manage automations at scale. I shared the framework we use to keep structured, consistent, and measurable:

  1. Roadmap for Ideas: Capture automation suggestions, track progress, and prioritise builds with clear delivery timelines.

  2. Live Automation Tracker – Record review dates and set next review dates to track progress.

  3. Engagement Tracker: Measure survey/chat start vs completion rates. Spot drop-offs and optimise completion.

  4. Training Tracker: Flag automations that impact consultants’ workflows and build them into onboarding and training! Keeps the team engaged and ensures your automations work!
